PRIVACY
Your information.
How we handle website enquiries and information in Capitan PM.
Who is responsible
Capitan is operated by Capitan Consult Ltd (company number 14745779), which is responsible for the personal information supplied through website enquiries. Contact info@capitanconsult.co.uk, call 0333 054 0755, or write to Capitan Consult Ltd, 20–22 Wenlock Road, London, N1 7GU, United Kingdom.
Enquiries
When you contact us, we receive the name, contact details and information you choose to provide. We use these to respond, discuss your requirements and prepare proposals. We rely on our legitimate interest in responding to business enquiries, or steps you request before entering a contract. Providing information is voluntary, but we may be unable to respond without suitable contact details.
Service providers and AI
Our website hosting, email and telephone providers process information needed to deliver their services, including technical connection and security records. Our email service is Namecheap Private Email and this website is hosted through OpenAI Sites. Team email addresses route into our shared business mailbox; contacting an AI role does not start an autonomous AI conversation. Please send only the information needed for your enquiry. Client files, AI tools and access arrangements are agreed separately before project work starts.
Keeping information
Enquiry information is kept while we deal with your request and any related follow-up. We consider whether the enquiry remains active, whether it becomes client work, and whether records are needed for legal obligations or a dispute when deciding what to retain. Service providers may process information outside the UK; their processing locations and applicable transfer arrangements depend on the service. Contact us for information about the arrangements relevant to your enquiry.
Your rights
You can ask to access or correct your personal information, or request deletion, restriction or portability where applicable. Where processing relies on consent, you may withdraw it.
You can object to processing based on legitimate interests. Contact info@capitanconsult.co.uk to exercise your rights or raise a concern. You can also complain to the Information Commissioner’s Office.
Cookies and automated decisions
We have not added advertising trackers or analytics cookies to this website. The hosting service may use technology necessary for delivery and security. This website does not make automated decisions about you with legal or similarly significant effects.
Capitan PM
Capitan PM is the project management app operated by Capitan Consult Ltd. We process account and technical information to provide and secure the service. Where a company uses Capitan PM to manage its employees and projects, that company determines how its workspace records are used; contact your company administrator about employment, attendance and project records. Capitan Consult provides the platform and processes those workspace records on the company’s behalf.
Information used by the app
The app stores account email addresses and user IDs, profile and contact details, job roles, profile photographs and signatures supplied by users. Company workspaces may contain project details, programmes, forms, risk assessments, documents, drawings, photos, order numbers, leave requests, absence information and attendance records. Uploaded documents, forms and messages may contain additional personal information that you or your company choose to include. Only upload information that you are authorised to provide.
Location, camera and files
When you clock in or out, Capitan PM requests your device location to check whether you are at a configured project location. The attendance record can include precise coordinates, accuracy, time and the site check result. The app does not request background location access or continuously track your movements. Camera and file-selection permissions let you capture or select material for an upload; selected uploads are stored with the relevant workspace or project. Declining a permission may prevent the related feature from working.
Access, hosting and messages
Your company administrators and authorised workspace members can access records according to their roles and project assignments. Records that you export or share may also be available to your chosen recipients. Capitan PM uses Supabase for account authentication, database and file storage. Hosting providers process technical and security information needed to operate their services. Data may be processed outside the UK; contact us for the processing locations and transfer arrangements relevant to your company. Capitan PM does not include an advertising SDK or sell personal information for advertising.
Chat uses end-to-end encryption. Message history is designed to expire after three days. Recipients may retain copies, screenshots or downloaded attachments, and deletion from active storage does not immediately remove provider backups.
Retention and your choices
Workspace records remain available until removed by an authorised administrator or through an agreed deletion process. Your company should set retention periods appropriate to its employment, safety, contractual and legal obligations. Account and service records may need to be retained for security, legal obligations or resolving disputes. Contact us or your company administrator for the retention arrangements that apply to a particular record. You can review app permissions in your device settings and request access, correction or deletion using the contact details above.
Request deletion of your Capitan PM account
To request deletion of your sign-in account and associated personal data, email info@capitanconsult.co.uk with the subject “Capitan PM account deletion”. Send the request from your registered email address and include the company workspace name. Do not send your password. We may need to verify your identity and clarify which workspaces are affected before acting.
We will assess the account and associated data for deletion. Company-controlled employment and project records may need a separate decision by your company, and information retained for legal or security reasons will be explained in our response. Deleting a company workspace through the app does not delete your sign-in account or other workspaces. Copies already exported to other people are outside the app’s deletion controls.
