More time running the business. Less time buried in paperwork.
Capitan was started for owners and managers who need to be with their people, customers and projects—but keep getting pulled back into forms, spreadsheets and chasing information.

WHY CAPITAN EXISTS
Built from the work behind the business.
Founder Mehmet brings more than 20 years of hands-on experience across engineering, construction, project delivery, commercial and business management. That experience includes the less visible side of running a business: checking hours, preparing estimates, keeping records, tracking costs and making sure the next job is ready to start.
He has seen how capable people can lose hours to work that repeats every day or week. Information is entered twice. Forms get completed but still need checking. A manager becomes the link between every person, spreadsheet and system.
Capitan grew out of working through those problems and asking a practical question: how can we make this easier to run, without losing control of the detail?
The aim is to give owners and managers more time on the ground—leading their teams, speaking to customers and moving the business forward—with reliable support for the work behind it.
These are the kinds of pressures Mehmet has encountered in day-to-day operations, and the practical approaches Capitan can help put in place.
We connect the tools you use, agree who receives updates and set up the checks. Where your systems allow it, information can be collected and summaries delivered automatically. You stay in control of approvals and decisions.
Payroll day starts with chasing timesheets.
Hours are missing, clockings need checking and job references do not match. Someone ends up pulling information from several places before payroll can even be reviewed.
How we can help
Bring the records together, flag missing or unusual entries and prepare a consistent summary. Your team can focus on the exceptions and approvals instead of rebuilding the whole picture each week.
Where AI comes in
AI can pull timesheets and clockings from agreed sources, match entries to employees and jobs, and flag missing hours or unusual clockings. An automated workflow can email a payroll summary to the person approving it—so they check the exceptions instead of working through every entry.
What this means for you: Less chasing and copying. A prepared summary ready for your review.
The job information exists—but nobody can find the right version.
An order needs a job number, a completed job is still on a form, or a team is working from an old drawing. Small gaps create calls, delays and avoidable corrections.
How we can help
Use a maintained job register, keep forms aligned with active work and establish a clear place for current documents. Make it easy for people on the ground to submit the right information first time.
Where AI comes in
AI can read an incoming job or order request, pick out the details and check them against your job register. Automation can return the right reference, update the agreed tracker and send confirmation, with unclear requests passed to a person to check.
What this means for you: Fewer calls to find a reference, and less information to type twice.
Checks are submitted. The follow-up still lands on your desk.
Vehicle and plant inspection forms arrive, but someone still needs to spot missing checks, review defects and work out who should act. Collecting a form is only part of the job.
How we can help
Compare submissions with the asset register, highlight gaps and defects, and give each follow-up an owner. A short exception report helps managers see where attention is needed.
Where AI comes in
An automated workflow can collect the plant and vehicle checks, compare them with your asset list and identify missing submissions. AI can summarise reported defects and email the relevant manager a short daily report showing what needs attention and who completed each check.
What this means for you: Open one summary instead of opening every form. Your team still reviews defects and decides what action is needed.
The business is busy, but the numbers are hard to see.
Job costs, fuel, hire, invoices and work in progress sit in separate reports. By the time the figures are brought together, another decision has already been made without them.
How we can help
Create a regular reporting routine that brings costs and expected income into view. Use clear budgets, job performance reports and cash-flow forecasts to support decisions about the weeks ahead.
Where AI comes in
Automation can gather agreed cost reports, invoices, fuel and hire records into a regular reporting pack. AI can explain notable changes and highlight missing information, while spreadsheet calculations produce the totals. The pack can be emailed to you on an agreed schedule.
What this means for you: A clearer view of costs without rebuilding the report every week.
Accreditation becomes a last-minute paperwork exercise.
Policies need updating, training evidence is scattered and the same information is requested in another format. Preparing a submission takes time away from the work it is meant to support.
How we can help
Keep evidence organised as part of normal working life. Maintain document owners, review dates and action lists, and prepare drafts for the responsible people to check and approve.
Where AI comes in
AI can compare the documents you provide with an agreed evidence checklist, flag gaps and prepare policy or procedure drafts using your business information. Automation can remind document owners when reviews are due and send a summary of outstanding actions.
What this means for you: Less searching and starting from a blank page, with drafts and evidence ready for the responsible person to review.
You spend the day reacting and the evening catching up.
The programme needs updating, an estimate is waiting and actions are buried in emails or meeting notes. The owner or manager becomes the person everyone relies on to remember everything.
How we can help
Turn commitments into a clear plan, assign responsibility and keep progress visible. Combine better systems with practical delivery support, so agreed work moves forward between meetings.
Where AI comes in
AI can turn meeting notes and project emails into draft actions, owners and deadlines, and prepare a concise progress update. An agreed workflow can send reminders and email you the priorities for the day, with uncertain dates or instructions flagged for confirmation.
What this means for you: Less time rewriting notes and chasing updates. A clear list of what needs your attention.

EXPERIENCE, SYSTEMS AND HANDS-ON SUPPORT
A practical partner as your business develops.
Our roots are in construction and operational businesses, but the pressures will be familiar to many owners and managers. You may need a better workflow, help with a tender or programme, clearer reporting, or a brand and website that reflect the business you are building.
Capitan brings those services together under Mehmet’s direction, supported by specialist AI roles. We use technology to help organise, prepare and check work, with human review where judgement and approval are needed.
